Exhibition Times

Exhibitor Build/Bump In

Sunday 16th October 2022

Exhibitors are permitted access from 1600 to 1930 for set up.

Exhibitor Pack-up

Wednesday 19th October 2022

Pack up can commence following the exhibition closing.

Please ensure pack up is completed by 1700hrs.

Open to delegates

The Trade exhibition will be open to delegates at the following times:

0800 – 1800 | 17th October 2022
0800 –  1715 | 18th October 2022
0800 – 1300 | 19th October 2022

There will be dedicated exhibition times during the scheduled morning tea, lunch, and afternoon tea breaks, to view these please visit the program page

IMPORTANT – Please download and complete the form from our stand company, Expo Evolution and return via email to exhibitor@expoevolution.com.au by
Friday 30th September 2022 to complete your stand order.

Also please download and action the necessary items enclosed in the exhibitor manual from Accor Stadium.  If you wish to have food or beverages on your stand you will also need to complete and return the External Food Products form.  (Please note Tea and Coffee can not be served on any stand excluding the Cafe sponsored stand)

Expo Evolution is the appointed exhibition supply company. Expo Evolution supplies exhibition booths, furniture hire, trestle tables, fascia/name board, lighting & power, signage, audiovisual, plants, custom stands, venue information, and timing schedules.

Custom Builds

All custom build plans must be sent to Conference Design (mail@conferencedesign.com.au) and be cleared with the Accor Stadium before 1st September 2022.

The height limit in the room is 2.5m

Custom Build bump-in can start from 0900 Sunday, 16th October 2022.  All bump in must be completed by 7.30pm on Sunday night.

Custom Stand bump out commences from 2pm on Wednesday and must be completed by 7.30pm

Deliveries & Collections

It is imperative that a complete list of all deliveries and collections are sent to the venue ahead of the event.  Security will not accept/dispatch items if your delivery/collection is not on the schedule.

Please email Carla Strang, carlas@nsw.venueslive.com.au, with the below information at least two days prior to your expected delivery/collection;
What the delivery/collection is (incl number of items).
Day and approx time it is being delivered/collected.
What company is delivering/collecting the items.

Deliveries

Please ensure your deliveries arrive before the Meeting. 

  1. Download and use the delivery label provided by the venue in the box below.
  2. Notify the venue of the contents of your delivery, when it will arrive, and which courier you will be using. Please use the template provided below and forward this information to Carla (carlas@nsw.venueslive.com.au)
  3. Confirm with your courier the delivery has been made BEFORE you arrive.
  4. Have the name of your courier, the consignment numbers, and the confirmed delivery date when you arrive.
  5. Accor Stadium will accept deliveries from the 13th of October 2022, between 8 am to 2 pm. Deliveries arriving before this date will not be accepted by Accor Stadium.

Collections

  1. Download and use the collection label provided in the box below.
  2. Box up any materials requiring collection and leave on your stand for collection by venue staff during bump out.
  3. Arrange for the collection of the items with your courier as per the pickup details noted in the collection label. It is advised that exhibitors using a courier service book a pickup time with the courier company of your choice prior to bump out time.
  4. All goods must be removed by the next working day.
Booth Inclusions

Inclusions:
  • BOOTH – as marked on the footprint
  • Fascia sign with your company name (up to 30 characters, in capitals on PVC panel).
  • 2 x spotlights
  • 1 x 4 amp powerpoint.
  • Logo & hyperlink on the conference website.
  • Online Exhibitor Listing, with ONE (1) brochure available for download
  • Access to the Meeting Hub via the ANZSN ASM Delegate App + Online Portal to connect with delegates and request meetings.
  • Organisation listed in the pocket program.
  • Two (2) exhibitor registrations including the Welcome Reception
  • Access to Lead Management software through the ANZSN ASM Delegate App

Your Contact Person

When booking please appoint a single point of contact within your Organisation. All bookings will be recorded under the one name and all correspondence will be sent to this person.

Representatives

Anyone from your Organisation attending the conference or guests you wish to invite to the Conference must register with Conference Design before the conference. An official conference name badge will be required to access the conference and exhibition area.

App Game

An app based game will be run to encourage delegates to visit and interact with the exhibition. The Organising Committee appreciated donations of delegate prizes from the exhibiting companies for this game. The prizes will be drawn in the Closing Plenary. For more information please contact the Conference Manager.

Please submit all documentation affiliated with your Partnership / Sponsorship to the exhibitor portal in your email

All documents are due by 14th September 2022

Your logo will be used on the website, in the printed program, in the conference app, and on a joint sponsors’ slide.

Print: EPS version

Web and App: a high-resolution PNG, JPG, or TIFF image, no less than 250 KB in size.

One (1) slide advert rotating on two trussed screens in the exhibition and catering area and one (1) slide advert included in Holding Slides in the plenary auditorium between presentations for the duration of the 3 day ASM (sponsor to provide advert)

  • One mp4 video, 1 min or less, 16:9 ratio and smaller than 1GB

Eligible sponsors are able to supply promotional videos for the online platform.

Eligible partners are entitled to supply a banner advert for inclusion in electronically distributed mail (EDMs) sent to meeting registrants and the Virtual Platform header rotation for the duration of the ASM (3 days and 3 months post-conference proceedings)
